The AECF (http://www.aecfafrica.org) is an Africa-based $250 million challenge fund that aims to reduce poverty by supporting private sector businesses that have a positive impact on rural communities in Sub-Saharan Africa. Specifically, the AECF supports businesses in agriculture, agribusiness, rural financial services and communications systems, renewable energy and adaptations to combat climate change. The AECF provides
catalytic funding in the form of grants and zero interest loans to businesses that would not otherwise have access to adequate financing.

The AECF is part of the Alliance for Green Revolution in Africa (AGRA) family and has been supported by governments (Australia, Canada, Denmark, The Netherlands, Sweden and United Kingdom), and international financial institutions (Consultative Group to Assist the Poor and IFAD).

The AECF has recently been spun out of AGRA, and is in the process of building itself to become independent development institution. The AECF is building a team of leaders to leverage its success to date, with a goal to doubling its impact over the next five years. To date the organization has supported more than 250 businesses
across 23 countries in Sub Saharan Africa. These companies in turn have impacted 10 million individuals by improving their incomes and access to clean sustainable energy.

Position Overview:

The Administrative Officer will coordinate the administration function of AECF and assist the HR & Administration Manager in all aspects of administration and office services.

Specific roles and responsibilities will include:

. Directly oversee all administrative support staff with overall responsibility to the HR & Admin Manager.
. Lead the provision of administrative support services related to travel and logistics, events and conferences, human resources, contracting and procurement, projects and programs, training and
capacity building.
. Provide orientation for new staff joining AECF on the office administrative functions.
. Support and monitor the procurement and contracting process from requisition to close of contract for suppliers, vendors, consultants and other service providers to AECF.
. Active coordination of events, local and international travel and the complete logistics for seminars, meetings and conferences.
. As required, support the operations teams (including portfolio management, grants and results measurement teams) with administrative support to the programs.
. Support the provision of all administrative HR related matters including but not limited to performance management, leave management, training and recruitment.
. Liaise with internal and external constituents on all administrative issues.
. In consultation with the Administrative Assistant will ensure that all travel is organized as per AECF’s Travel Policy under the general guidance of the HR & Admin manager.

. Ensure all facilities are maintained and in good working condition.
. In liaison with the other functions, ensure all assets are adequately insured and follows up on insurance
claims.
. Provide other administrative support as required by the organization.

Required qualifications and experience:

. Bachelor’s degree in any of the business related disciplines.
. Computer proficiency and familiarity with a range of software applications
. A minimum of 2 years of experience in a similar role
. Excellent verbal and written communication skills.
. Proactive, attention to detail and able to work independently with minimal supervision.
. Good interpersonal skills and ability to work in cross-cultural teams.
