Reporting to: DVC Planning and Development

Department: Planning and Development Division

Basic job Summary:
The role of the Executive Manager in the Office of the DVC Planning and Development will be to provide proximate administrative support to the DVC Planning and Development; to coordinate the execution of the responsibilities of this Office and perform such other duties as they may be assigned by the DVC Planning and Development.

Duties & Responsibilities:
o Provide executive, administrative and management support to the DVC Planning and Development.
o Provide confidential executive support and serve as a communication link for the DVC Planning and Development and other parties.
o Attend all Committee meetings chaired by the DVC Planning and Development and serve as minuting secretary to all of the DVC Planning and Development Committees and follow-up on the actions by various Heads of Departments.
o Schedule appointments with individuals and organisations from the local/national and international community.
o Schedule appointments with other University personnel, Members of the University Council, Management Board and Academic Council.
o Co-ordinate and manage traveling schedules locally and internationally including preparing materials and reports in regard to the meetings.
o Prepare and compile materials for seminars, conferences and meetings on individual initiative for the DVC Planning and Development as appropriate.
o Prepare and manage the annual budget for the DVC Planning and Development’s Office.
o Ensure high quality standards in regard to professional excellence and physical facilities are upheld for the purpose of establishing and maintaining a professional and cooperative working environment within the DVC Planning and Development’s Office.
o Carry out other roles that may be closely related the above as assigned by the DVC Planning and Development.

Minimum Qualifications required:
o Master’s degree and four (4) years of relevant experience
o A satisfactory combination of experience and training which demonstrates the knowledge, skills and abilities to perform the above duties.
