Sanergy is looking for a qualified Administrative Assistant 2 to join our IT & Admin Services team on a full-time basis.

About the role
The team is tasked with advancing the company’s mission, vision, and values by providing excellent, timely, and cost-effective customer service in all aspects of administration and office management. The purpose of the role is to ensure 100% support is given to Directors, Team leads, Team mates, Board members and Sanergy visitors while at the same time provide operationally and financially efficient management of the office

A typical day for you might include the following
Screen all visitors to determine the purpose of their business within the premises and use discretion as to whether they can be granted access or whether they need an appointment.
Be first point of contact for any queries and screening incoming calls, courteously redirecting / transferring calls to respective members and taking messages in polite, friendly and efficient manner.
Assist in ensuring that policies and procedures are carried out at all times.
Ensure a well-functioning reception, clean office premises and meeting rooms.
Efficient co-ordination of team events – team buildings, trainings’, offsite meetings, onsite meetings.
Assist in in-house meeting refreshment arrangements as and when required
Promptly book/make reservation for accommodation for staff and guests before date of travel
Implement and maintain a filing system for all administration documents according to procedures
Ensure proper mail distribution
Keep updated records of office expenses and costs
Carry out periodic inventory audits of non-stock items
Ensure that utility bills are paid.
Raise all office related procurement requests for processing
Review fellows’/Interns CVs on Bamboo HR.
Required to assist the Administrative Services Officer and Assistant Manager when needed
Perform any other duties assigned by management from time to time

Skills and qualifications you’ll need
A Degree or Diploma in Business Administration or a related course
2-3 years’ experience in Office administration and HR
Demonstrated ability to effectively use office automation tools (MS Office suite)
Excellent written and verbal communication skills
Strong organizational and planning skills in a fast-paced environment.
A creative mind with an ability to suggest improvements
Excellent time management skills and ability to multi-task and prioritize work
Attention to detail and problem solving skills
Self-Motivated
